Below, we present the terms and conditions applicable to the Users of the services provided by expatgroup.co LLC, a company incorporated under the laws of the State of Delaware, United States, identified by EIN 61-1994890, with its registered address at 16192 Coastal Highway, Lewes, DE 19958, United States (hereinafter, «Expatgroup.co») and the Users.
The terms and conditions will describe the rights and obligations that Users have when acquiring any of our Services by any means, and the rules under which the relationship will be maintained.
When Users send the data to make a quote, fill out the service form and/or pay the invoice and thus access or use our Services, and/or with the express electronic acceptance of these terms and conditions, they express their consent and acceptance about them.
Likewise, when carrying out any of the activities mentioned above, Users declare that they have legal capacity and the necessary powers to be bound in accordance with these terms and conditions.
Users must carefully read these terms and conditions, our privacy and personal data treatment policy and any other document referenced in these terms and conditions.
The coverage area of the Services is worldwide, including but not limited to the territory of Colombia, consulates of the Republic of Colombia, the United States, and other international jurisdictions as required by specific procedures.
Expatgroup.co is a global facilitator channel that provides a comprehensive portfolio of solutions for expats, travelers, and investors worldwide. While we specialize in helping individuals settle, invest, work, study, and do business in Colombia and the United States, our services extend internationally. Expatgroup.co provides worldwide document legalization and apostille services, global and Colombian visa applications, accounting and legal services, business advice, real estate services, and more.
Definitions
a. Adviser: Means the person who has been delegated by Expatgroup.co to advise and accompany the User during their visa, apostille, or any other administrative process.
b. Immigration Area: Means the department specialized in immigration, mobility, and document legalization matters to which the Adviser belongs.
c. Contents: Means everything that Users or Expatgroup.co publish or share on the website, through the completion of forms, email, or WhatsApp, including, but not limited to request for documents, communications with the User, application requirements, process times, etc.
d. Entity: Means all government authorities worldwide that intervene in immigration processes, the granting of visas, or document legalizations. This includes, but is not limited to, the Colombian Ministry of Foreign Affairs, Migración Colombia, the U.S. Department of State, consulates abroad, and other international government bodies.
e. PQRS: Means Petitions, Complaints, Claims, and Suggestions.
f. Services: Mean the Services defined in Clause 4 of these terms and conditions.
g. Users: Means any person, regardless of their country of residence, who accesses or acquires the services provided by Expatgroup.co.
h. Visa: Means the authorization granted by the competent government authority of a country to a foreigner to enter and remain in its national territory for a specific time and purpose.
By contacting us by any means, by accepting these terms and conditions, and/or by using our Services, Users are freely and voluntarily contracting advisory, management, and administrative services, which may include, but are not limited to, visa applications, document legalizations, apostilles, and business procedures worldwide. The conditions of this service include these terms and conditions and any other binding document that is made known to the User by any other means, which will be available for consultation, including, but not limited to, the Privacy Policy and Treatment of Personal Data.
The acquisition of any service solely implies an advisory and intermediation service between Expatgroup.co, the User, and the respective competent government Entity. The final decision on any requested procedure is at the absolute discretion of the applicable government Entity (whether in Colombia, the United States, or any other jurisdiction), as Expatgroup.co cannot guarantee or ensure the approval of any procedure. Expatgroup.co provides expert advice on how to comply with the requirements established by the Entities to maximize the success rate, but under no circumstances does it commit to or guarantee a favorable response or outcome from any government Entity.
In order for Users to access the Services, they must meet the following minimum requirements:
Have the legal capacity to contract according to the laws of the country where the User resides.
Have read and accepted these terms and conditions.
Pay the invoice corresponding to the contracted service in full.
Fill out the application, visa, or service form provided by the Adviser.
Provide all documents and meet all requirements that constitute the basis for the requested procedure, as established by the competent government Entity (e.g., Colombian Ministry of Foreign Affairs, U.S. Department of State, or other international authorities), as well as any other requirement considered necessary by the Adviser and previously communicated to the User.
a. To access the Services offered on the website, via WhatsApp, email, or through an Adviser, Users must fill out the corresponding Service Form. Without filling out this form, the User will not be able to access the service or receive information related to its provision.
b. Before filling out the form, a prior quote for the Service will be sent to the User, which must be accepted to initiate the provision of the Services.
c. General terms and conditions:
Upon paying for the contracted procedure, in order to be transferred to the Adviser and start the process, the User must fill out the Service Form in all its fields with valid data. Expatgroup.co may request at any time additional information deemed pertinent to verify the data provided by the User and to fulfill the necessary requirements to proceed with the application or procedure.
Users commit to providing their full disposition and diligence so that Expatgroup.co can carry out the corresponding procedures.
Every User must complete the required information exactly, precisely, and truthfully, and assumes the commitment to update their data whenever necessary. For these purposes, and prior to the collection of personal data, Users must read and acknowledge the Privacy and Personal Data Treatment Policy available on the website.
Users will guarantee and be responsible, in any case, for the truthfulness, accuracy, validity, and authenticity of the personal data they provide.
Users will be held liable for any damage, harm, or inconvenience caused by providing false, erroneous, or inaccurate information.
If the User’s personal information undergoes any change that could affect the Services offered by Expatgroup.co, the User must update it through the provided channels.
Users accept and acknowledge that Expatgroup.co will use the email address registered in the Service Form as the primary method of communication.
Users are responsible for being attentive to any notification sent to their email by Expatgroup.co (including checking the SPAM folder) to avoid missing relevant information. Likewise, the User commits to replying promptly to emails as a sign of receipt, acceptance, or as required.
In the event the User does not respond to communications in a timely manner, Expatgroup.co will not be responsible for delays, loss of legal/immigration status, closure of processes, extra costs, or negative consequences this may bring to their process.
The User understands that the application process for any service requires collaborative work at all times between Expatgroup.co and the User. If the User fails to cooperate with the requirements made by Expatgroup.co, the User will be solely responsible for the withdrawal, inadmissibility, or denial of the application, and there will be no grounds for any claim or refund.
The User understands that all communications with Advisers must be based on respect and good treatment. If the User violates, intimidates, harasses, or disrespects any Expatgroup.co Adviser, the Adviser may terminate the communication and escalate the case to the Legal Department. The Legal Department will review the situation and may authorize the continuation of the process, transfer the case to a new Adviser, or definitively close the process, terminating the contracted service and notifying the competent Entity if necessary.

To utilize our services—whether for global visa applications, document apostilles, legalizations, or other international administrative procedures—Users must comply with the following:
a. General Service Terms and Conditions
Users freely choose to contract the service.
If a specific procedure requires the User to remain in a certain jurisdiction (e.g., their country of origin, the United States, Colombia, etc.), the User must comply for the duration of the process. Otherwise, the Entity may inadmit, withdraw, or deny the application. The User assumes full responsibility, and Expatgroup.co reserves the right to terminate the contracted service.
Users must truthfully and promptly supply all information and documentation required by Expatgroup.co. Before initiating the process, the User must disclose any relevant past procedures or situations.
Expatgroup.co respects the privacy settings chosen by the User.
Expatgroup.co is not responsible for the truthfulness of the information declared by Users before the Entities in charge of granting visas or approving procedures. Expatgroup.co assumes no liability for information entered into any government system, provided it matches the data supplied by the User.
Users are solely responsible for the accuracy and suitability of their information and obligations.
Expatgroup.co reserves the right to terminate the contracted service without a refund if it identifies falsehoods, illegal conduct, bad faith, or harassment toward any Adviser.
For security and quality assurance, calls and video calls between Users and Advisers may be recorded, handled in accordance with our Privacy Policy.
b. Application, Document Validation, and Submission
The respective department will email the required documents and/or information to start the process, including reminders about potential government responses, processing times, and additional Entity requests. The User understands that the final decision (Approved, Inadmissible, Denied, or Withdrawn) and processing times are at the absolute discretion of the competent government Entity (e.g., Colombian government, U.S. Department of State, etc.). Expatgroup.co’s responsibility is limited to keeping the User informed and acting as an intermediary.
Expatgroup.co will advise the User on how to obtain and present required documentation (e.g., notarization, apostille, official translations).
Expatgroup.co handles appointment scheduling, form filling, and document submission preparation.
For tracking purposes, Expatgroup.co may register internal email addresses and passwords on government platforms. These credentials are confidential property of Expatgroup.co and will not be shared.
The User is responsible for proving their legal stay in the country where the application is made and must attend any required in-person appointments at the local Entity offices.
Expatgroup.co will handle the reception, verification, organization, and digitization of documents, complete online applications, process required electronic payments (if included), and continuously track the file, notifying the User of any updates within 24 to 72 business hours.
Unique application tracking numbers generated on government platforms will generally not be shared to prevent unauthorized access, unless formally requested via email by the User, at which point Expatgroup.co disclaims all liability for data security.
c. Approval and Post-Approval Steps If the application is approved, Expatgroup.co will provide instructions and support for any final payments, visa stamping, or local identification requests (such as a Colombian Cédula de Extranjería or equivalent foreign IDs). This includes sending electronic documents, scheduling local immigration appointments, filling out final forms, and tracking document delivery.
d. Denial of the Procedure If the Entity’s final response is negative, a call will be scheduled to notify the User and provide recommendations. An email with the official government response in PDF will follow, formally closing the process. The User understands that the advisory service ends at this point without any right to a refund. Any future applications will require paying new applicable fees.
e. Additional Services Depending on the procedure, additional services may be required or requested, such as:
Official translations and document apostilles.
Migratory movement certificates or safe-conducts.
Declarations of common-law marriage or foreign marriage registrations.
Pension or income certificates issued by accountants.
Travel insurance.
Corporate setup, foreign investment certificates, broker account openings, and international transfer legalizations.
Real estate title studies, contract reviews, and legal representation.
The User understands that costs for these additional services are not covered by the initial advisory fees and must be paid separately if the User chooses to contract them through Expatgroup.co.
Users commit to complying with all obligations expressed in these Terms and Conditions, as well as those determined in other documents, including but not limited to other contracts that may be executed, and the Privacy and Personal Data Treatment Policy.
In addition to these, Users will have the following obligations:
Address the company, Advisers, and other members of the Expatgroup.co team, as well as other Users, with respect.
Pay for the contracted Services.
Promptly inform the Adviser about any changes in contact details, identification documents, or any other information relevant to the process.
Thoroughly read and understand these Terms and Conditions.
Comply with community guidelines and all rules expressed in these terms and conditions or in other binding documents.
By virtue of the nature of the service offered by Expatgroup.co, the company is obligated to:
Provide the infrastructure for the proper provision of the Service contracted by the User.
Guarantee the confidentiality of the information provided by the User and the data contained in the documents supplied for the provision of the service.
Issue receipts for payments or installments made, as well as the invoice or equivalent document, and send them electronically to the User.
Keep the User informed of the progress of the process and notify any changes in the status of the procedure within a maximum timeframe of 24 to 72 business hours.
Act with diligence and responsibility in the contracted work, using the human, physical, and technological resources at its disposal to increase the probabilities of success, without guaranteeing it. It is understood that the final decision rests solely on the discretionary power of the competent government Entities (e.g., the Colombian Ministry of Foreign Affairs, U.S. authorities, or other international bodies) involved in the procedure.
Users may have free access to basic information regarding visas, apostilles, and international procedures through the Expatgroup.co website. Once they wish to acquire the services, the following basic charges will apply:
Government application fees (if applicable).
Expatgroup.co service fees.
Government fees and Expatgroup.co’s Service costs vary according to the type of visa or procedure requested. Additionally, depending on the procedure, there may be extra charges for associated services required for the proper execution of the process.
The base costs of the Service will be communicated by our Advisers before acquiring the services offered by Expatgroup.co. In certain cases, Users may acquire the services without needing a prior quote. However, after contracting the Service and transferring the case to the assigned Adviser, they may indicate if additional payments are required for associated services depending on the case.
The User understands that the fees initially paid to Expatgroup.co do not include final government issuance fees in the event of approval (such as the visa issuance fee charged by the Colombian Ministry of Foreign Affairs or other international entities), nor the amounts required for issuing local identification documents (such as the Cédula de Extranjería at Migración Colombia or equivalents in other countries).
Expatgroup.co reserves the right to update its prices in accordance with its pricing policy. However, the new prices will only apply to future service contracts. If the User does not agree with the new prices, their sole recourse will be to not contract the service.
Expatgroup.co will refund the money paid by the User provided that the process has not yet started. Initiating the process includes one or more of the following events: registering the application with the corresponding Entity, providing prior advice, explaining the requirements for the procedure, drafting powers of attorney, and/or reviewing documents provided by the User. If any of these “start of process” events have occurred, a refund request will not be applicable.
To request a refund, the User must use the PQRS channel (https://expatgroup.co/pqrs/) and select ‘Refund’ in the ‘Reason’ field. The corresponding department will respond to the request within fifteen (15) business days.
No refunds will be issued when partial or total services have been rendered, or if inconsistencies are found between the initial information provided by the User and the documents submitted during the collection phase.
The User may request a change to the type of visa, apostille, or service they wish to apply for only within five (5) business days following the payment. If requested outside this timeframe, the User must request a new consultation subject to an additional fifty dollars (USD $50) fee for extra advice, reprocessing, and reorientation of the new service.
If three (3) months pass from the date of payment and the User does not respond to communications or submit the required documents, they will be notified of the closure of the process. In this scenario, only the government fees that Expatgroup.co has not yet paid to the Entities will be refunded. Expatgroup.co service fees will not be refunded.
In any event where the User is entitled to a full or partial refund, the User understands and accepts that bank and payment gateway fees will be deducted based on the intermediary financial institution. Expatgroup.co will not assume or cover these transaction costs.
The User understands and accepts that any definitive response issued by the government Entity (Approved, Inadmissible, Denied, or Withdrawn) concludes the process entirely. If the User wishes to attempt a new application for any reason, they must pay all associated costs again, including government fees and Expatgroup.co’s service fees.
Given that the services provided by Expatgroup.co are immediate consulting and administrative management services, and considering that this commercial relationship is governed exclusively by the laws of the State of Delaware, standard statutory cooling-off periods or rights of withdrawal do not apply once the provision of the service has begun.
By making the payment for any of the services, the User expressly agrees to these terms and conditions and consents to the immediate commencement of the service (e.g., being contacted by an Adviser, document review, prior advice, etc.). Consequently, the User acknowledges and accepts that they waive any right of withdrawal or cancellation once the service execution has started, subject only to the refund policies established in Section 10 of this document.
Users accept and acknowledge that Expatgroup.co provides advisory and intermediation services between the User and the competent government Entities worldwide in charge of granting visas, apostilles, and other administrative procedures. Expatgroup.co has no affiliation or official tie with these Entities. Therefore, it is not in a position to guarantee the effective approval of any procedure, the suitability, truthfulness, or efficacy of the contents or information submitted, and to that extent, it cannot guarantee that the requested visa, apostille, or service will be granted.
Expatgroup.co will make its best commercial efforts to provide the Services with the quality expected by the Users, subject to these terms and conditions.
Notwithstanding the foregoing, the Services provided by Expatgroup.co are obligations of means, not of results, and do not carry any guarantee of final approval or government outcome.
Users accept that the Service provided by Expatgroup.co is provided on an “as is” and “as available” basis, meaning that there is no express or implied warranty regarding the provision of Expatgroup.co’s services.
No information, whether oral or written, that Users have received by any means from Expatgroup.co or any of its representatives, contractors, or employees, outside of these terms and conditions, shall create any liability for Expatgroup.co or constitute any warranty regarding the Services.
For this reason, the User’s sole and exclusive remedy in relation to the Services provided by Expatgroup.co, in case of dissatisfaction, will be to withdraw from the process and cease using the services offered by Expatgroup.co.
Any inquiry, complaint, or claim regarding Expatgroup.co’s Services will be governed by the following internal policies:
Complaints and inquiries must be submitted exclusively by filling out the Customer Support / PQRS form available on the Expatgroup.co website: https://expatgroup.co/pqrs/
Only the direct User, upon proper identification, may submit claims free of charge through the website or other channels officially provided by Expatgroup.co.
Expatgroup.co will register the request and assign it a unique tracking number, which will be communicated to the User via email.
Expatgroup.co reserves the right to transfer or forward the inquiry to a third party if the claim pertains to information, actions, or services provided by external entities or independent contractors rather than Expatgroup.co directly.
If the response falls within the strict purview of Expatgroup.co, the company will make its best commercial effort to respond to the request within fifteen (15) business days.
Expatgroup.co informs Users that it shall be exempt from any liability in the following events:
When Users provide incorrect, inaccurate, outdated, or false identity data or information, including but not limited to any damages of any nature arising from the impersonation of a third party by a User in any communication or transaction.
When there is a suspension, interruption, or outage of Services due to corrective, preventive maintenance, or technical failures on the platforms of any competent government Entity.
When an application for a visa, apostille, or any other procedure is denied, withdrawn, or deemed inadmissible due to the User’s fault, omission, delay, or failure to attend required appointments.
When the competent Entities decide to deny, withdraw, or reject an application, provided that Expatgroup.co has fulfilled the procedural requirements and no gross negligence on its part is evidenced.
Expatgroup.co offers no guarantee regarding the accuracy or truthfulness of the information provided by any User.
For any loss of profits, lost business opportunities, consequential damages, pecuniary losses, or loss of information or data related to the use of the Service.
For any cost, prejudice, or damage caused to Users as a consequence of the improper use of the Services by unauthorized third parties outside of Expatgroup.co.
Users agree to defend, indemnify, and hold harmless Expatgroup.co, its affiliates, officers, directors, employees, contractors, and agents from and against any claims, liabilities, damages, losses, and expenses, including, without limitation, reasonable legal fees, arising out of or in any way connected with:
The User’s breach of these Terms and Conditions or any applicable laws and regulations.
The improper or unauthorized use of the website, platform, or services provided by Expatgroup.co.
Any false, inaccurate, or misleading information provided by the User.
Disputes, injuries, losses, or damages of any kind arising between Users or between a User and third parties/government entities in connection with the services rendered.
Any interaction, transaction, or commercial relationship conducted through Expatgroup.co.
Users accept and acknowledge that Expatgroup.co may use cookies and other similar tracking technologies across its website, content, services, and electronic communications (such as emails sent to Users). These tools are utilized for purposes including, but not limited to: authentication, logging website activity, improving platform functionality, optimizing offered Services, analyzing market trends and demographic information of visitors, evaluating advertising effectiveness, studying consumer behavior, and determining email open rates and formats.
These technologies allow for the collection of data such as browser type, operating system, IP address, time spent on the website, frequency of visits, and overall platform usage.
Users may configure their web browsers to disable or delete cookies and similar technologies. However, disabling these tools may restrict access to certain features and functionalities of the website.
By using our Services, Users consent to the display of relevant advertisements based on their interests and agree that Expatgroup.co may utilize anonymized personal data to help determine which advertisements to show.

Distinctive signs—including trademarks, trade names, logos, slogans, and all components of Expatgroup.co’s brand identity—are the sole property of Expatgroup.co. Users are strictly prohibited from using, reproducing, or displaying these trademarks without prior written authorization.
The use of Expatgroup.co’s applications, software, or platforms by Users does not imply any transfer, assignment, or license of intellectual property or copyright owned by Expatgroup.co. Authorized uses are strictly limited by these Terms and Conditions, the natural functional purpose of Expatgroup.co’s platforms, and the commercial relationship between Users and Expatgroup.co. Any granted permissions must be interpreted restrictively.
Users and third parties must refrain from extracting, scraping, copying, or reusing any portion of the content without the express prior written consent of Expatgroup.co or its respective rights holders, subject to liability for any damages or harm caused by non-compliance with this section.
By accepting these Terms and Conditions, the User authorizes Expatgroup.co to collect, use, store, process, and transfer their personal data in accordance with our Privacy Policy, which is available [here].
Expatgroup.co may collect personal information including, but not limited to, full name, address, phone number, email address, payment method details, and identity documents required for the requested procedures. By providing this information through any channel, the User grants express consent for Expatgroup.co to process, store, use, and manage such data solely for the provision of the Services, fulfillment of contractual and legal obligations, and for legitimate business purposes.
Expatgroup.co may also collect user data through third-party platform integrations (such as Google, Microsoft, Meta, or payment processors). All data collected through these channels remains subject to these Terms and Conditions and our Privacy Policy.
The User retains the right to access, update, rectify, request the deletion of their personal information, or withdraw their consent at any time, subject to legal or contractual retention requirements, by contacting Expatgroup.co through the official support channels.
Personal data will be processed and stored for as long as necessary to fulfill the purposes described in our Privacy Policy or as required under applicable laws in the jurisdiction of Delaware and federal regulations of the United States.
Expatgroup.co is not responsible for any damage, harm or loss caused by failures in the web page derived from the server or the Internet. Expatgroup.co will not be responsible for any virus that could infect the equipment of theUseras a consequence of the access or use of the website or as a result of any transfer of data, files, images, texts, or audio-content through any of the communication channels enabled by expatgroup.co. TheUsermay not impute any responsibility or demand payment for lost profits, by virtue of damages resulting from technical difficulties or failures in the Internet systems.

If expatgroup.co determines that the User has violated any of the conditions set forth in this document, it may immediately terminate or suspend the link.
Neither the Users nor expatgroup.co, will be responsible for non-compliance, or delay in the fulfillment of the obligations, in the event of an event of force majeure, that is to say that it is irresistible and unpredictable, and that it is beyond the reasonable control of both the User and Expatgroup.co, including, but not limited to the issuance of a law, an act of authority, a flood, an earthquake, a pandemic, etc.
Neither the User nor expatgroup.co will be liable in the event of a fortuitous event involving the fact of a third party that becomes unpredictable and irresistible and legally alien to the party alleging it, including, but not limited to be limited to a war, a malicious act of third parties, etc.
In any case, force majeure and fortuitous events will be considered exempt from liability and will suspend or terminate, as applicable, the fulfillment of the obligations.
The use of the functionalities included in expatgroup.co by the Users implies the acceptance of these Terms and Conditions. If any User disagrees with any of the elements contained in the Terms and Conditions, they must stop using the Expatgroup.co Services.
These Terms and Conditions constitute a legally binding agreement between the Users and Expatgroup.co.
Expatgroup.co may make updates and changes to these Terms and Conditions, both in their appearance and in their characteristics and content, and this may be changed or modified to the extent that new functions or characteristics are developed and to the access conditions in any time, without this meaning additional commitment to those established by Expatgroup.co or claiming any kind of damage.
These Terms and Conditions, as well as the commercial relationship between the User and Expatgroup.co, shall be governed by, construed, and enforced in accordance with the laws of the State of Delaware and the federal laws of the United States of America, without regard to its conflict of law principles.
In the interpretation and analysis of the legal relationship between the parties, the binding documents shall be interpreted in the following order of precedence:

Users agree that for any dispute, claim, or controversy arising out of or relating to the provision of the Services or these Terms and Conditions, the User and Expatgroup.co shall first attempt to resolve the matter amicably through direct negotiation or informal mediation within a period of thirty (30) calendar days from the date the claim is formally submitted via our customer support channels.
If the parties are unable to reach an agreement within said thirty (30) day period, both the User and Expatgroup.co agree that any formal legal proceeding or action shall be submitted to the exclusive jurisdiction of the state or federal courts located in the State of Delaware, United States of America. The User expressly waives any objection to jurisdiction or venue in such courts, as well as any claim that such forum is inconvenient.
